Board of Directors Job Descriptions

President

Presides at league meetings, and assumes full responsibility for the operation of the league. The president receives all mail, supplies, and other communications from the Little League International. The president must see to it that league personnel is properly briefed on all phases of rules, regulations, and policies of Little League. The league president is the contact between the local organization and Little League International. 

Vice Presidents
Preside in the absence of the president; work with other officers and committee members; are ex-official members of all committees and carry out such duties and assignments as may be delegated by the President.

Treasurer
Signs checks co-signed by another officer or director; dispenses league funds as approved by the Board of Directors; reports on the status of league funds; keeps local league books and financial records; prepares budgets and assumes the responsibility for all local league finances.

Safety Officer
Coordinates all safety activities; ensures safety in player training; ensures safe playing conditions; coordinates reporting and prevention of injuries; solicits suggestions for making conditions safer; cooperates with the Equipment Manager in the appraisal of safety equipment (helmets, catchers gears, etc.); reports suggestions to Little League International through the league president and prepares the ASAP plan for submission to Little League International. 

Secretary
Maintains a register of members and directors; records the minutes of meetings; is responsible for sending out notice of meetings, issues membership cards and maintains a record of league’s activities.

Player Agent
Conducts annual tryouts, and is in charge of player selection, assists president in checking birth records and eligibility of players; serves as a member of the Board of Directors of the local league and generally supervises and coordinates the transfer of players to or from the lower divisions according to provisions of the regulations of Little League.

Due to Little League rules, the Player Agent cannot be a coach. 

Scoring Manager
As the leader of the Scorekeeping Committee, the Scoring Manager organizes and manages the official scorebooks and pitch counts (where applicable) for all divisions of play. The Scoring Manager provides training and support to scorekeepers who will score each game, submitting the official scores in GameChanger. Further, the Scoring Manager maintains the official standings on the Stratford Little League website. 

Concessions Manager
Manages the daily operations of the Stratford Little League concessions stand. This includes applying for, securing, and maintaining the appropriate food handling credentials, training 

  • Certification: Applies for, secures, and maintains food handling certification. May also train other volunteers in the safe handling of food. 
  • Organization: Creates and maintains a schedule of concessions volunteers who will help serve people within the concessions stand
  • Food Safety: Maintains a sanitary workspace conducive to safe food service. Creates cleaning schedules and oversees cleaning of all areas of the concessions stand. 
  • Inventory Management: Maintains a stock of food and beverage for sale during game nights. Coordinates with the Presidents and Treasurer to purchase concessions for sale. 
  • Financial Management: Closes register after each shift. Coordinates with the Treasurer to ensure proper bookkeeping. 

Information Officer
Manages league’s official website; encourages creation of team web sites to managers, coaches, and parents; collects, posts, and distributes important information on league activities including direct dissemination of fundraising and sponsor activities to Little League, the district, the public, league members, and the media. The Information Officer will manage the social media accounts for Stratford Little League, posting to increase visibility into programs and league news. 

Equipment Manager
Organizes and maintains the inventory of Stratford Little League equipment. In coordination with the President, Safety Officer, and Treasurer, creates equipment orders to ensure the appropriate and safe provisioning of materials throughout every division in the league. Creates, distributes, and collects gear bags for each team's use. Maintains a "sign out" system for specialized training equipment (e.g. pancake gloves, wiffle balls, pitching machines, etc.).

Sponsorship Coordinator
Solicits sponsorship opportunities for the league to ensure the successful maintenance of SLL fields, concessions stand, and equipment while keeping the registration costs accessible to all families in Stratford. Collaborates with the President & Vice Presidents to assign sponsors to teams. Ensures all sponsorship deliverables are met.


Non-Board Positions
Division Commissioner
A Little League division commissioner's duties include overseeing player and coach selection, ensuring fair team balance, and managing day-to-day operations for their division. They act as a liaison between the league board and coaches, handle parent concerns, and coordinate with the scheduling team for games and practices. Additional tasks can include managing equipment and uniforms, assisting with post-season tournaments, and upholding Little League policies and rules. 

Fundraising Committee
Make up: Sponsorship Coordinator & 2 - 5 volunteers
Duties:
Find fundraising opportunities
Ensure payment is received and all League obligations are met
Review sponsorship processes and propose changes as needed

Baseball/Softball Operations Committee
Make up: 
VP of each league, Player Agent, Scoring Manager, Commissioners
Duties:

Train scorekeepers
Maintain scores, stats, and standings on the website
Identify and address issues in divisional play
Plan player and coaching clinics
Create plan for player evaluation sessions
Create and distribute practice plans for different levels of play

Special Events Committee
Make up: Information Officer and volunteers
Duties:
Plan and execute special events (e.g. Opening/Closing ceremonies, field clean up, etc.)
